What we collect
When you contact us
Our enquiry form collects your name, email address, telephone number, company, sector, number of sites, the area you are interested in, how urgent it is, and whatever you write in the message field. We collect this only because you have chosen to send it.
When you browse
If you agree to analytics or advertising cookies, we and the providers listed in our cookie policy collect information about how you use the site, including pages viewed, approximate location and how you arrived. If you decline, none of this is collected.
Our host records standard server logs, including IP address and browser type, for security and reliability. These are retained for up to 30 days and then deleted.
Why we use it, and our lawful basis
| Purpose | Data | Lawful basis |
|---|---|---|
| Responding to your enquiry | Contact and site details you provide | Legitimate interests: replying to someone who has approached us |
| Providing services and quotations | Contact and site details | Performance of a contract, or steps before entering one |
| Understanding site usage | Analytics data | Consent |
| Measuring our advertising | Advertising cookie data | Consent |
| Site security and reliability | Server logs | Legitimate interests: keeping the site available and secure |
Who we share it with
We do not sell personal data. We share it only with providers who process it on our behalf:
- Netlify hosts the site and receives enquiry form submissions.
- Google provides Analytics and Ads, where you have consented.
- LinkedIn, Microsoft and OpenAI provide advertising measurement, where you have consented.
- Microsoft provides our email (Outlook), where enquiries are received and handled.
Some of these providers are outside the UK. Where that happens, transfers are covered by the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision.
How long we keep it
Enquiries that do not become customers are kept for 24 months. Customer records are kept for the life of the relationship and then for as long as tax and contractual obligations require, normally six years. Analytics and advertising data are retained by the providers under their own schedules.
Your rights
Under UK GDPR you can ask us to give you a copy of your data, correct it, delete it, restrict how we use it, or transfer it elsewhere. You can object to processing based on legitimate interests, and withdraw consent for cookies at any time using the cookie settings link.
To make a request, contact Emma Chapman, Managing Director, at service@ecs-uk.com. We will respond within one month.
Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes
If we change this notice we will update the date at the top. Material changes affecting how we use your data will be brought to your attention.
